Tags play a critical role in mbrella. You can use Tags to help associate and identify Trade Compliance participation, manage your custom workflows, or to highlight important information about a compliance asset.
Tags can be created at two different levels and to any/all of five asset types:
Tag Levels:
| GLOBAL: | Tag Available in ALL Organizations |
| ORG: | Tag Available in ONE Organization |
Asset Types:
- Documents
- Organizations
- Items
- Classifications
- Export Details
Creating Tags
To create/edit a GLOBAL tag, you must have select 'Tags' from the Admin Dropdown. ANY Tags created from this menu are GLOBAL.
Click 'ADD' to create a new Tag on the Global Tag List page
TIP: Limit your Tag names to max 15 characters and include a good description if users unsure what is the purpose of your tag.
To create/edit an ORG Tag, select the 'Tags' TAB from within the ORG you wish to manage. You will see a list of all Org-level Tags that currently exist. Click 'ADD' to create a new Tag for that ORG.
This flexibility helps give you Tags context as you can tailor their visibility. Below are a couple of examples to highlight the variety of tasks.
Task | Configuration |
| Associate a specific Ruling to a series of Items for my vendor | Tag Level: ORG Tag Name(s): "RULE 262" Assets: Document, Item |
Global Workflow for Users to review Item/Classifications across all customers/partners | TAG Level: GLOBAL Tag Name(s): TBD, WIP, ISSUE, COMPLETE Assets: Org, Item, Classification |
Triage of a Document Queue for Image Workflow (also consider search and MOVE to another ORG as part of Workflow process) | TAG level: ORG Tag Name(s): READY, INCOMPLETE, TEAM_A, TEAM_2, DONE Assets: Document |
Manage workflow of Vendors have been validated as part of NAFTA Solicitation and Review. | TAG level: GLOBAL Tag Name(s): NAFTA14_DONE, NAFTA14_PEND, Assets: Organization, Document |
Best Practices:
- Consider creating Global Tags to represent your Teams for work distribution
- Use color-coding to distinguish type of Tags: Info, workflow/assignment, trade compliance program, ete
- Don't expose a Tag to more asset types than is required... keep drop-downs as focused as possible
